China Sourcing Guide: How to Vet Suppliers Without Visiting the Factory

Virtual Due Diligence in a Post-Pandemic World

Not every buyer can fly to China to audit a factory in person. But skipping due diligence is not an option — one bad order can wipe out months of profit. Here is how to vet Chinese suppliers thoroughly, even from 10,000 km away.

Step 1: Verify the Business License

Every legitimate Chinese manufacturer has a business license (营业执照) registered with the State Administration for Market Regulation. Ask for a copy. Cross-reference the company name, registered address, and business scope. The license should show manufacturing (生产) in its scope — not just trading (贸易).

Step 2: Request a Live Video Walkthrough

A pre-recorded video can be from any factory. A live video call cannot be faked. Ask the supplier to walk you through the production floor on a video call, showing raw materials, machines in operation, and finished goods. Pay attention to: the condition of machinery, worker count, and whether the factory name on the wall matches the company you are dealing with.

Step 3: Check Export History

Ask for references from buyers in your region. A factory that has exported to the EU or US is familiar with the quality standards and documentation you need. Also check customs records — platforms like Panjiva and ImportGenius show shipment history for many Chinese exporters.

Step 4: Order a Pre-Production Sample

Always, always get a sample before bulk production. Compare it against your specification sheet. Measure tolerances. Test it under real conditions. If the sample is wrong, the production run will be wrong — and returns from overseas are expensive.

Step 5: Use a Local Sourcing Partner

This is the most reliable option for buyers who cannot visit China themselves. A sourcing partner visits factories, collects samples, negotiates pricing, and handles QC inspection on your behalf. At Pamin, we have been doing exactly this for our brush customers — and we extend the same service to clients who need help sourcing other products. Learn more about our China sourcing services.
