Ordering a custom OEM brush is not like picking a SKU from a catalogue. It is a five-stage manufacturing project that runs from your drawing or sample to a container of finished product. Each stage has decisions that affect the other four. This step-by-step guide lays out the entire process so you know what to expect, when to push, and where first-time buyers lose time.
Step 1: Specification and feasibility
You send a drawing, a sample brush, a photo of your machine, or a written description of the job the brush needs to do. The factory engineer reviews the filament requirements, dimensions, mounting interface, and operating conditions (RPM, wet or dry, temperature, surface contact) and confirms whether the design can be manufactured at the target price point. This is where a good manufacturer pushes back: “That filament cannot hold stiffness at 80°C — try this grade instead.” A pushback here saves a rejection later.
What you provide: target dimensions, filament preference, mounting type (bore, keyway, bolt pattern, shaft end), application conditions, annual volume, target unit cost.
What the factory returns: a feasibility note, a recommended filament and construction if your spec needs adjustment, a budgetary price range, and an MOQ estimate.
Step 2: Quotation and terms
With the specification agreed, the factory issues a formal quotation. Ensure the quote states the Incoterm (DDP recommended for full landed cost; FOB or CIF if you prefer), the unit price, the MOQ, the sampling lead time and cost, the production lead time, and the payment terms. A deposit of 30–50% to start production is standard for custom OEM orders; the balance is typically tied to inspection or shipping documents. Never pay 100% up front to a new supplier.

Step 3: Sampling and golden-sample approval
Do not skip the sample. The factory produces a pre-production sample (usually 1–5 pieces) to your specification. You test it on your actual equipment, under real operating conditions, for a realistic cycle count. If the sample passes, both sides sign off on it as the “golden sample” — the physical benchmark against which every unit in mass production will be inspected. If the sample fails, you iterate: the factory adjusts the filament, density, or construction and sends a revised sample. Sampling typically adds 1–2 weeks to the timeline. It is the cheapest insurance you will buy on the entire project.
Step 4: Production and in-process control
With the golden sample locked, the factory begins mass production. The critical checkpoints during this phase are filament batch consistency (same spool grade as the sample), tufting density and trim length measured against the golden sample, and hub or core dimensions verified with callipers against the drawing. An in-line inspection at roughly the 30 % production mark catches drift before it becomes a whole batch of rejects. Most buyers combine in-line with a pre-shipment inspection at the end; on a first order with a new supplier, both are recommended.
Step 5: Final inspection, packing, and shipping
A pre-shipment inspection (PSI) checks a random sample of finished goods against the golden sample for filament type, density, dimensions, mount fit, appearance, and packing. If the PSI passes, the goods are released for packing and shipping. Pay particular attention to the mounting interface during PSI — a brush that looks perfect but does not fit the machine is the single most common OEM failure. Once the PSI is signed off, the factory arranges freight per the agreed Incoterm. On DDP terms, the goods clear customs and arrive at your door with no further bills.
